This is an exciting opportunity for a Training Records Administrator to join a small and friendly team. Reporting to the Manager General Pathway Training, the position ensures the accuracy and completeness of records for Registrars who are training in general practice.

Key responsibilities of the position include:

  • Assist with data entry, data quality and contractual reporting requirements for EV practices including though not limited to: Performance Assessment and Supervisor Feedback.
  • Follow up outstanding training requirements and reports, escalate any identified issues when required.
  • Distribute Practice Agreements and Payments, including recording, filing and following up.
  • Manage RCTI records; follow up, check and approve for payment by EV Finance department in a timely manner.
  • Perform regular audits of RCTIs to confirm registrars are complying with the requirements for their stage of training in relation to: patient numbers, teaching time and leave (registrar and supervisor).
  • Supporting practices with systems and scheduling visits where required.
  • Provide advice and support to practice managers and supervisors.
  • Undertake administration tasks and activities related to practice and supervisor support. Update contact details for all stakeholders in your region on relevant EV information systems.
  • Assist the Practice Support and Development team where required.
  • Collating detailed information relating to compliance of practices and supervisors with training requirements and RACGP/EV standards.
  • Ensure consistency and integration across the organisation.
  • Ensure data quality and integrity is maintained in relation to: all aspects of GP training selection and delivery and Department of Health record management and reporting requirements.

Required:

  • Highly developed planning, organisation and time management skills with demonstrated ability to work under pressure and meet deadlines.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Excellent problem solving, conceptual, reporting and analytical skills with a thorough understanding of administrative systems.
  • A strong process orientation and demonstrated commitment to compliance and attention to detail.
  • An operational understanding of records management storage requirements and systems.
  • Proven ability to show initiative, to work independently or as part of a team.
  • Well-developed computer skills with experience in using electronic data management systems.

Desirable:

  • Qualification in quality systems, information management, business, data or database administration would be highly regarded.
  • Experience in event management, general practice, education or training environment.

This is an exciting opportunity for an Evaluation and Quality Assurance specialist to join a small and friendly team.  The position is a senior support role providing high level administrative support assisting the Research and Evaluation Manager to evaluate and report on key program activities.

Key responsibilities of the position include:

  • Work with the Research and Evaluation Manager in evaluating program activities to contribute to the identification of areas for improvement.
  • Work with program coordinators to develop and administer feedback and evaluation materials for a range of programs and workshops.
  • Utilise online survey tools and undertake focus groups and interviews for data collection.
  • Provide reports of evaluation results to key personnel.
  • With guidance from the Research and Evaluation Manager, undertake some thematic analysis.
  • Work closely with the Supervisor Professional Development Support Officer regarding evaluations of College accredited GP supervisor and medical educator professional development activities.

Required:

  • Highly developed interpersonal, time management, report writing and communication skills.
  • Demonstrated ability to show initiative and to work independently or as part of a team.
  • Demonstrated ability to contribute meaningfully to program improvement.
  • Demonstrated ability to work with colleagues and a diverse range of stakeholders to develop effective, enduring working relationships and partnerships.
  • A thorough understanding of administrative systems and data management.
  • Highly developed computer literacy skills, particularly with MS Office suite.
  • Willingness to learn relevant software applications and systems.
  • Attention to detail and a proactive approach to data entry and data quality.
  • Excellent problem solving, conceptual and analytical skills, with a strong attention to detail.

Desirable:

  • Qualification in education, health, research or evaluation related discipline.
  • Experience with quality improvement processes.

While the position reports to the Research and Evaluation Manager who is based in Churchill, the role can also be based in Hawthorn with flexibility for Working from Home arrangements. Training will be provided to the successful candidate which also includes the option to attend the Churchill office one day per week for the first month with travel reimbursed.

This is an exciting opportunity for a person with experience in Professional Development to provide high level administrative support for the Professional Development activities engaged by General Practitioner Supervisors and Medical Educators.

Key responsibilities of the position include:

  • Manage submissions to Colleges – both Royal Australian College of General Practitioners (RACGP) and Australian College of Rural and Remote Medicine (ACRRM) –for approval of Continuing Professional Development activities:
    1. Assist the Practice Support and Development Coordinator in the development of documentation that meets College requirements for supervisor and medical educator Professional Development workshops.
    2. Ensure accurate reporting of completed activities and points allocations within designated time frames.
    3. Work with relevant stakeholders, staff and the Workshop Administrators to ensure timelines are met and clearly communicated to supervisors and medical educators.
    4. Respond to queries from Professional Development workshop participants in a timely manner.
    5. Provide reports to key EV personnel on overall Professional Development accredited activity as required.
    6. Develop planning tools and documentation which captures key milestones in submission and reporting requirements of Professional Development activity.
    7. Send out completion certificates to supervisors after each event.
  • Provide advice on College requirements for Professional Development accredited activity for General Practice supervisor and medical educator Professional Development activity, and the registrar Mental Health Skills Training program.
  • Provide high level administration support for the Practice Support & Development Co-ordinator.
  • Support and contribute to strategic planning of the supervisor and medical educator Professional Development program as required including, but not limited to, working in collaboration with the Practice Support and Development Coordinator to build and maintain an education strategy for supervisors, including content review in appropriate circumstances.
  • Build collaborative relationships within EV and personnel at the Colleges to ensure EV meets its professional development accredited activity goals and timelines.

Required:

  • Highly developed planning, organisation and time management skills with demonstrated ability to meet deadlines.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proven ability to show initiative, to work independently or as part of a team and to demonstrate a high attention to detail.
  • Highly developed computer literacy skills, particularly with MS Office suite.
  • Well established project support skills with a proven ability to contribute meaningfully to program development and implementation.
  • Previous experience in management information systems and a willingness to learn other software applications and systems.
  • Strong problem solving, conceptual and analytical skills with a thorough understanding of administrative systems.
  • Well-developed computer skills with experience and demonstrated skills in using electronic data management systems and strong attention to detail.

Desirable:

  • A qualification in education or health-related discipline.
  • Completion of the Education Activity Representative (EAR) Accreditation Training Course with the RACGP or the willingness to complete this training.
  • Experience coordinating accreditation processes for professional development activities.
  • Experience with quality improvement processes.

The successful candidate will need to complete the Education Activity Representative (EAR) Accreditation Training Course with the RACGP (if not already accredited). Attendance at the Course will be supported during work hours and paid for by EV.
