Administrator

Eastern Victoria GP Training

  • 20-30 hours per week with flexible days and hours.

 This is an exciting role which supports the team who organise the training for medical graduates.

About Us:

Eastern Victoria GP Training is a Not-for-profit regional training provider funded by the Commonwealth Department of Health to deliver the Australian General Practice Training Program. The Program is a world class vocational training program for medical graduates wishing to pursue a career in general practice.

About the Role:

We are looking for a great administrator, who will support a team of seven, to organise the delivery of training for General Practice (GP) registrars. The role is rotational depending on the workload, so one day you may be helping organise workshops and then next day you could be reconciling training records. This role would appeal to someone with strong administration skills in any field, but in particular education or medical. Training will be provided to the successful applicant.

Key responsibilities include:

  • Assist with the scheduling of Workshops and placement of registrars in medical practices.
  • Assist with the recording of enrolments, training progress and records.
  • Assist with the development and upkeep of training materials.
  • Assist with communication and information to internal and external stakeholders.
  • Assist with organising meetings and taking minutes.
  • Assist with the reporting requirements of Eastern Victoria GP Training, Department of Health and the relevant Colleges.
  • Assist with special projects and tasks.

Key skills:

  • You have experience in an administration position, with an education or medical background being desirable.
  • You have experience supporting a small team.
  • You have experience organising and minuting meetings.
  • You are proficient in the use of the MS Office suite of products, specifically Excel, Word, PowerPoint, Outlook and Teams.

IT Systems Administrator

About the Role:

Position: Fixed term (from May/June 2022 to 31 January 2023)
Type: Part Time, 0.6 – 0.8 FTE (22.8 hours or 30.4 hours per week)
Location: Office in Hawthorn East, working from home/ hybrid working

We have an exciting opportunity for a 7 month contract for an IT Systems Administrator. This role reports to the IT Manager and forms part of an enthusiastic IT team within a supportive can-do culture. The organisation is currently going through a transition and your contribution will help deliver existing server, network, security and desktop level services. The position requires a person with strong IT administration skills, an eye for detail, and proven hands on experience across a range of core Microsoft cloud and on-premise systems and platforms.

We are offering flexibility for this role to be performed from home, from the office or hybrid work arrangement. The role is ideally 0.8FTE (4 days a week) but 0.6FTE (3 days a week) would be considered if the person brings sufficient experience.

Key responsibilities include:

  • Oversee and maintain the Microsoft server and supporting environments, including tasks related to installation, upgrades and improvement.
  • Provide Microsoft account administration including setup, configuration, and assignment of users and their corresponding services
  • Administer and maintain the network environment to an optimum and secure level, make configuration changes as needed
  • Maintain storage environments, on premise or cloud, as well as the backup infrastructure used to protect against events and disasters.
  • Provide personal IT support to address individuals’ issues and work with the IT team
  • Administrate key platforms within the company ecosystem and call on available resources to cover gaps.
  • Ensure company infrastructure, both physical and digital is protected and remains accessible for users.
  • Implement company security configuration across all areas and ensure continued monitoring and learning to reduce threat and exposure
  • Be directly involved across most aspects of project delivery including research, design, development, testing and support
  • Work with internal and external resources to ensure administrative tasks are completed to the required level and within internal quality measures

Required:

  • A minimum of two years’ work experience in an Information Technology/Communications position.
  • Tertiary qualifications or relevant TAFE certificate in Information Technology and demonstrated work experience.
  • Ability to work as part of a small team, work independently and to take direction.
  • Demonstrated success in executing Information Technology projects.
  • Highly developed organisational and problem-solving skills, and proven capacity to coordinate concurrent priorities.
  • Excellent communication and interpersonal skills both written and verbal.
  • Demonstrated ability to work under pressure and meet deadlines.
  • Ability to work well with a wide range of stakeholders, including interacting with people from diverse backgrounds.
  • Demonstrated excellent computer literacy with emphasis on database, network and web- platform backgrounds.

Desirable:

  • Experience in a medical industry setting, education or training environment.
  • Skills relating to website and administrative management systems.
